Welcoming a new era of clarity in entity management

As Vistra embarked on a journey to develop a platform that would make doing global business feel borderless and frictionless, we connected with our clients and identified common pain points that hindered effective governance. This research made an immense impact on the features we delivered in our new platform. We identified five needs from global businesses and designed features to meet them:
#1 Clarity on regulatory obligations: Keeping track of filing deadlines goes beyond just setting calendar reminders. Each jurisdiction has its own filing schedules, and managing them can be tricky. Without a solid system in place, organisations often face compliance risks and may miss important submissions.
Our Compliance Tracker makes managing entity compliance easier and more predictable. It lets users input and track upcoming deadlines in one centralised calendar, giving a clear overview of obligations. With our tool, users can easily keep tabs on important dates and ensure nothing gets missed.
#2 Seamless document management for decision-making: Important documents such as legal agreements and KYC records often get scattered across various locations, making it challenging to access quickly. This disorganisation can slow down decision-making, as teams must sift through multiple systems or files, leading to delays in approvals and strategic actions. Additionally, missing records can lead to compliance issues, putting organisations at risk of fines and legal complications.
Our Documents Hub serves as a centralised repository for all essential entity documents, simplifying storage and retrieval. This feature streamlines document management and improves collaboration by ensuring that all team members have access to the information they need.
The platform provides access controls, allowing administrators to set permissions for different users. This helps keep sensitive information secure while enabling authorised team members to access relevant documents easily.
#3 A better channel for communication: Email threads remain a common method of communication in organisations, but important details can easily get lost in lengthy chains. This clutter increases the risk of oversight and miscommunication among team members, which can lead to misunderstandings and impact decision-making and workflow reliability.
Relying solely on email for compliance updates can also pose risks. Without a centralised system to track compliance communications, organisations might miss key deadlines or overlook regulatory requirements, potentially resulting in fines, legal issues, and reputational damage.
Vistra’s entity platform provides a centralised source for managing your organisation’s governance. By consolidating relevant information, the platform facilitates access and helps legal teams streamline their workflows to improve efficiency and minimise errors.
For organisations that have their entities managed by Vistra, the platform also serves as a gateway to our wide range of services, allowing teams to access expertise and guidance as needed, ensuring the necessary resources are always available.
#4 Oversight of entity structures: Mapping, understanding, and maintaining an entity structure, including subsidiaries, relationships, and ownership, often requires collaboration among various stakeholders across different departments.
When entities are onboarded onto our platform, they’re integrated into the organisation’s Entity Map. This feature provides a clear overview of entity relationships and share distribution, helping visualise connections and ownership structures.
The platform also includes detailed shareholder profiles, making stakeholder management more efficient. By centralising this information, teams can access and update shareholder data easily, track ownership changes and engage with stakeholders effectively. This streamlined approach enhances transparency and empowers organisations to make more informed governance and strategic decisions.
- #5 Modern and user-friendly technology: Most entity management software is outdated and unintuitive, which makes navigation difficult for users. This complexity can be frustrating, as team members struggle to adopt the technology into their daily workflow.
The Vistra platform aims to prioritise user experience, focusing on intuitive navigation and features that facilitate entity governance. Designed to be scalable and flexible, it can adapt to the evolving needs of global businesses.
Managing entities shouldn't be a hassle. When it becomes difficult, compliance with regulatory requirements can take a hit, leading to missed deadlines, penalties, and legal issues. That’s why it’s crucial to have reliable technology in place to keep all necessary information accurate and accessible, helping organisations stay compliant and reduce risks.
Our platform features user-friendly functions that adapt to changing business needs, simplifying entity management and directly addressing key concerns organisations face as they navigate an increasingly dynamic regulatory landscape.
Vistra’s platform will transform the way you manage your entities and keep them compliant.
