Key Responsibilities

  • Provide overall secretarial and administrative support to the team including word processing,  maintaining filing system, logistic arrangements, administrative duties and other tasks assigned by supervisors
  • Perform secretarial support to managers such as arranging appointments, meeting room booking and answering phone enquiries
  • Handle expense claims reimbursement
  • General office administrative duties including scanning, photocopying, filing, binding and create files
  • Sort and organize all documents before archiving to storage
  • Manage filing and maintaining an up-to-date archive list and file list
  • Assist in preparing weekly, monthly and quarterly reports to management
  • Answer, screen and manage incoming phone calls and emails
  • Handle any ad hoc duties as assigned

Qualifications and other requirements

The successful candidate should possess the following:

  • At least 1-2 years of secretarial experience
  • Higher Diploma or above
  • Pleasant with positive working attitude
  • Ability to work under high pressure and fast paced environment
  • Ability to handle general data input, filing etc.
  • Ability to handle multi-tasks efficiently and independently
  • A strong team player and with strong organization skills
  • Good communication and interpersonal skills
  • Good Command of Excel, Work, Outlook, and Power Point
  • Chinese word-processing
  • Fluent in written and oral English with a good command of Chinese and Mandarin proficiency
