Executive Assistant

This role is located in Jersey, Channel Islands.

Key Responsibilities

  • Secretarial and assistant support to Departmental Head.
  • Administration support to the group function as needed.
  • Management of invoices and expenses for Group function.
  • Arrange meetings and conference calls.
  • Updating, monitoring and management of calendars.
  • Taking notes and action points in meetings and distribute accordingly.
  • Assist with general administration duties as required.
  • Act as fire warden and first aid officer.
  • Work closely with Department Head to provide complementary support
  • Support on functional reporting and budgeting
  • Any other administration duties or ad-hoc project work as and when required.
  • Photocopying, scanning and general filing (both paper and electronic).
  • Book travel, flights, accommodation and rail tickets through the travel agency and internet.
  • Managing travel costs.
  • Arrange business lunches and dinners.
  • Uphold Vistra's values by promoting a culture of professionalism and teamwork.
  • Have a good understanding of Vistra's vision and direction.

Qualifications and other requirements

  • Excellent telephone manner and communication skills, both written and verbal.
  • Strong inter-personal skills.
  • Confidentiality.
  • Literacy and numeracy skills sufficient to fulfil the duties of the role.
  • High attention to detail.
  • Experience with managing travel.
  • Previous secretarial and administration experience.
  • Educated to a minimum of GCSE Level or equivalent.
  • Relevant first aid qualification or willing to obtain.
  •  Confident and skilled in the use of computer software packages including - MS Outlook, Word, Excel and PowerPoint
